Safeguarding Administration Support Worker
PURPOSE OF THE JOB ROLE
  • To ensure a client focussed approach to all areas of client communication.
  • Lead on the implementation of ECP’s strategic plan, including growing partnerships, supporting our digital offer, and implement the systems behind the work we do.
  • Develop and maintain high quality administrative processes for the organisation that are easy to use for staff and client focused.

KEY TASKS

LINE MANAGEMENT

  • Line manage the Safeguarding Administration Support Worker.

CLIENT RELATIONSHIP MANAGEMENT

  • To develop, implement and maintain the CRM system and manage records in line with Data Protection Act and GDPR regulations.
  • To devise and implement standard operating practices in relation to CRM.
  • To be the key point of contact and source of information for clients and potential clients and responding to queries by phone, email and written correspondence.
  • To manage the client journey, including reviewing effectiveness and client engagement, working with the Safeguarding Administration Support Worker.
  • To ensure a strategic approach to client partnerships, through building effective client relationships.

BUSINESS SUPPORT

  • To establish and maintain effective partnerships with vendors to ensure robust operational infrastructure.
  • To advise, implement and maintain HR systems including recruitment and induction of new staff.
  • To manage the ECP offices, to ensure all business functions are fulfilled.
  • The first point of contact for all business and associated systems escalations within ECP. Liaise with the ECP team, clients and external vendors where required.
  • To provide effective team support, through systems and processes advice and guidance, effective communication, including meetings, events and team building activities.
  • As the Data Support Officer (DSO) implement data protection and similar data regulatory matters, including auditing and review of policies and procedures. Whilst final accountability will sit with the CEO, responsibility for advising on and implementing GDPR compliance.
  • Provide support to the CEO and any other duties agreed in discussion with the CEO.

FINANCIAL OVERSIGHT

  • Management of the Safeguarding Administration Support Worker to ensure a robust invoicing process within the XERO accounting system.
  • In conjunction with the CEO, undertake pre-agreed tasks as regards to credit control and invoicing process.
  • Manage the Operational budget.

Ensure that the credit control systems, and the completion of supporting administrative documentation is current and up to date.

SALES, MARKETING & DIGITAL INNOVATION

  • To support the Marketing & Communications strategy to market ECP’s services, assisting CEO with research, development, and consultation to deliver this.
  • To support the development and implementation of digital communication.
  • Draft, distribute and pitch news releases, media alerts, marketing material and other stories across social media platforms.
  • Management and update of the ECP website.
  • Collaborating with team on new ideas and directions for marketing and communications.

Always ensure marketing and communication represented by ECP are current and topical and that it serves the purpose of portraying ECP as the go to provider of safeguarding training and consultancy.

Successful applicants will be able to demonstrate they meet the following criteria:

Qualifications

  • Ideally a Level 3 in a relevant field
  • Commitment to continued professional development

Experience

  • Of administration of a fast-paced environment (essential)
  • Of working with databases (essential)
  • Of working in a customer focused organisation (essential)
  • Of Safeguarding in an organisation would be an advantage (desirable)

Skills and Competencies

  • Excellent interpersonal and communication skills
  • Able to analyse information and make decisions and/or recommendations
  • Strong ability in writing and speech
  • Able to manage and prioritise a busy workload
  • Ability to communicate with a wide range of people and build relationships at all levels.
  • Ability to work independently but also as part of a team
  • Ability to manage several tasks at a time, with excellent time management skills
  • Ability to operate in a high-pressured environment
  • Ability to ensure that the facilities/equipment are safe to use and monitor the use of equipment
  • Ability to be flexible and adapt in response to the changing needs of the service
  • Access to car with full driving licence
  • An understanding of equality, diversity and safeguarding across all aspects of work
  • High level of IT-literacy – including the use of various software programmes.
  • A willingness to work out how to implement digital innovation for the benefit of the organisation.
